TheSupply Chain/Administration Leader, supports operations of the Illinois manufacturing sites by overseeing the office administration and being the liaison for coordinating the information flow to and from the corresponding functions in Illinois and Georgia for supply chain, controlling, purchasing, and human resources. Acts as the back-up for the Supply Chain Specialist.
Essential Responsibilities & Functionsinclude the following, others may be assigned.
Administration
Visitor and contractor entry by company policies
Mail and parcel package verification and distribution
Facilitate communication: Overseeing telephone services, email correspondence, and mail distribution
Coordinate events and meetings: Scheduling meetings and events, and organizing any necessary materials
Maintain office supplies: Maintaining office supplies inventory and ensuring resources are available when needed.
Finance/Controllership
Initiates purchases and completes goods receipts and service entries in SAP.
Prepares month-end inventory reports.
Prepare management reports and analyze statistical data.
Manufacturing
Supports daily and monthly KPI reporting.
Communicates priorities for operations, lab and shipping per production planning process.
Supply Chain
Coordinates with Supply Chain Customer Service Team to maintain proper client relationships and customer satisfaction. Assists with customer questionnaires and data requests, where appropriate.
Production planning – Coordinates with operations, QC/Lab and supply chain team to ensure timely manufacturing and shipment of goods to customers.
Inventory Management – ensures proper levels of inventory are being maintained (raw materials, packaging supplies, pallets) to ensure continued operations and costs are under control.
Shipping – Ensure shipments are scheduled, communicated and performed per requirements.
Human Resources
Assisting with the recruitment, onboarding, and training of new employees
Maintaining files, documentation, and records, including sensitive or complex files
Information Systems
Facilitate communication of IT requests and tickets with IT team
Interface with IT team to coordinate IT projects
Other
Performs jobs safely.
Completes work processes accurately and timely, ensuring Quality and ISO standards are followed.
Should have excellent organizational and leadership skills, outstanding communication and interpersonal abilities, and familiarity with office management procedures and basic accounting principles.
Complies with documentation, written work instructions, procedural and applicable regulatory requirements (such as safety, quality, environmental, housekeeping and food safety).
Creates maintenance notifications for the administration areas, as appropriate.
Attends and participates in required training. Assists in training new employees and the re-training of existing employees in the work area of responsibility.

Supervisory Responsibilities & Functions
Interviews, selects, hires, promotes, demotes, transfers, and recommends termination of employment to management; reviews the performance of staff to encourage growth and development; provides ongoing feedback with frequent contacts with employees.
Performs timely employee reviews in accordance with Prayon policies/procedures; applies appraisal process accurately and impartially; corrects performance deviations.
Develops and/or assists in the development of annual work plans, programs, staffing requirements, equipment requirements, and related budgets; assists in the development of objectives/long range plans; assures all goals are met.
Advises/assists the immediate supervisor and appropriate staff in carrying out the functions/responsibilities within the department; delegates authority to appropriate line and staff employees with full recognition that delegation of authority does not relieve overall responsibility.

Minimum
Education: High School diploma and 5+ years’ experience in managing a team
Experience: A minimum of 5 years of progressively responsible experience in management with supervisory experience.
Management function requires a working understanding of budgeting processes, cost control and human resources.
Certificates, Licenses, Registrations: Valid driving license
Preferred
Education: Graduation from a four (4) year accredited university/college with a bachelor’s degree.
Experience: A minimum of 10 years of progressively responsible experience up to a management position in plant and process engineering with a manufacturing facility.
Manufacturing or Technical experience with at least 10 years’ experience and work experience in a multi-disciplined organization
Certificates, Licenses, Registrations: CPR/First-Aid Certified Trainer; OSHA 30 Hour Certification; Certified Forklift Operators License
Language Skills
Reading/comprehension, speaking and writing at required education equivalency level. Ability to read, analyze and interpret general business correspondence, technical/product information, policies/procedures or government regulations. Ability to complete written forms and write routine to complex procedures, reports and correspondence. Ability to effectively present information and respond to questions in a group or individual setting.
Mathematical Skills
Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute rate, ratio and percent. Must be able to analyze data and develop equations. Must be able to read and understand financial information.
Computer Skills
Proficient in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint and other Office 365 applications.
Proficiency in relevant SAP modules preferred and working knowledge of similar materials management software required.
Complexity
The work includes varied duties requiring many different and unrelated processes and methods be applied to a broad range of activities and/or substantial depth of analysis within a particular area. Decisions include areas of uncertainty in approach, methodology, interpretation or evaluation resulting from such elements as continuing changes, technical developments, unknown phenomena or conflicting requirements. The work requires originating new techniques, establishing criteria, or developing new information and requires strong results orientation and outstanding ability to establish priorities, communicate needs, negotiate collaboration among stakeholders, and execute project plans to a timeline.
Knowledge requirements include budgeting and finance, cost control and knowledge of SAP is helpful.
Physical Demands
The work requires both sedentary and limited physical exertion to include sitting; walking; standing; bending; traversing of stairs, carrying of light and heavy items (up to 50lbs); driving an automobile, forklift, etc. Work routinely requires speaking and hearing (expression or exchanging ideas by means of spoken words and perceiving sounds by ear).
Work Environment
The work environment requires normal safety precautions typical of such places as offices, meeting and training rooms, personal or commercial transportation methods. Requires use of safe work practices with office equipment, avoidance of trips and falls, observance of fire regulations and traffic signals, etc. Generally, the work area is well lit, heated and ventilated.
